How to Prepare a Client Data Sheet Your Support Team Can Enter Without Back-and-Forth

Updated October 20, 2026 2 min read

Most delays in form work are not about typing. They come from missing dates, spelling that does not match a passport, unclear instructions, or documents that are hard to find.

A clear data sheet fixes most of this. These tips are about organization only. What each answer should be is always the licensee's decision.

One sheet per person

Keep a separate sheet for the main applicant and for each family member who needs forms. Note at the top which forms are needed for that person and for which application.

Write names and dates the same way every time

  • Write names exactly as they appear in the passport, including middle names and spelling.
  • Use one date format for everything, such as YYYY-MM-DD, which matches most IRCC forms.
  • Where a form asks for history (addresses, work, education, travel), give complete from–to dates in order, and say clearly if a period has nothing to report.
  • Write "N/A" when something does not apply, so it is clear the field was not forgotten.

Name documents so anyone can find them

Use one naming pattern, for example: Lastname_Firstname_DocumentType_Date.pdf ("Singh_Aman_Passport_2026-03-14.pdf"). Keep one folder per applicant, and send the clearest copy you have.

Put instructions in writing

If a question needs special handling, write the instruction on the sheet. Under the CICC Code, the licensee supervises and is responsible for the work, so written instructions protect you and keep the file consistent.

Anything the sheet does not answer should come back to you as a question. A good support team never guesses on a client's answers.

Send everything securely, once

Send the sheet and documents together through a secure portal rather than spreading them across email and chat. Name one person at your office for questions, and keep a final review step before anything is signed or submitted.

Data sheet checklist

  • One sheet per person, listing the forms needed.
  • Names exactly as in the passport.
  • One date format throughout.
  • Complete from–to dates for every history section.
  • "N/A" where something does not apply.
  • Documents named with one pattern, one folder per person.
  • Special instructions written on the sheet.
  • Sent through a secure portal, with one contact person for questions.

How Any Help Services fits in

Send us your data sheet and documents through the secure client portal. We enter the information exactly as given, send back any unclear point as a question, and a second person checks every form before it returns to you for review.
